This is a working draft that has not been reviewed by a lawyer. It describes how ProgramSlate currently handles data, and it may change. It is not a statement that ProgramSlate meets any particular law or regulation.

ProgramSlate helps coaches, families and school or club staff run youth sports teams. Because rosters describe players who are often minors, we try to collect as little as we need and to keep it visible only to the people running the team.
What we store
- Your account: email address, name, optional photo, and how you sign in (email and password, or Google).
- Your kids (parents): first name and optional last name, and which teams you linked them to.
- Team rosters (entered by coaches): player name, jersey number, position, grade, height, weight, status, coach notes, and guardian name, email and phone.
- Team activity: schedules, practice plans, game stats, posts, comments, reactions and sign-up sheets.
- Organization records: organization and program names and who administers them.
- Usage events: which features are used (for example "practice created"), linked to your account. We do not put names, contact details or roster data in these events.
- Change history: who changed which fields of rosters, staff, memberships, invitations, teams and kids, and when. It records field names only, never the values.
Who can see it
- Coaches of a team see that team's roster, including guardian contacts.
- Parents see their team's schedule, posts and sign-ups, and their own kids. They do not see the roster.
- Directors of an organization can read the rosters and staff of their organization's teams, but not change them.
- Head coaches and directors can see the change history for their teams and organization.
- Anyone with a share link can see the practice plan or sign-up sheet it points to.
Service providers
Data is stored with Supabase (database, sign-in and file storage) and the app is served by Cloudflare. If you choose Google sign-in, Google confirms your identity. We do not sell personal data or use it for advertising.
How long we keep it
- Usage events are deleted after 12 months.
- Archived teams are kept, with their rosters, until someone asks for them to be deleted.
- Change history is kept; it contains no field values.
- When you delete your account, the data tied to it is deleted (see below).
Your choices
- Download your data from My Account at any time.
- Remove a kid from My Kids. This unlinks them from your teams. The team's roster entry is kept until the head coach removes it.
- Delete your account from My Account. Your sign-in, profile, kids, memberships, organization roles, posts, comments, reactions, invitations you sent and usage events are deleted. Team records you helped create (events, stats) stay with the team without your name attached. A team you own that no other coach has joined is deleted with your account, including its roster; you'll see which teams first. If other coaches are on a team you own, or you are an organization's only director, you'll be asked to hand that over first.
- Coaches can export a single player's record to answer a family's request.
